Allocations are prospective changes to a portfolio position. They include subscriptions, redemptions and transfers. Re-weights of a position in a portfolio creates a subscription or redemption depending on its direction. Two types of allocations (and thus sessions) are available: recommendation, where the portfolio is managed by an outside manager; and directive, where the portfolio is managed in-house.

Allocations are assigned a status corresponding to their status in your company’s decision cycle. Status and workflow are user-definable to map them to your office workflow. Some possible examples of allocation status:

  • New or pending: created and documented, but not yet ratified.

  • Reviewed/ratified/approved/validated: has been analyzed and is being submitted for order execution approval.

  • Completed/promoted/generated/executed: final stage; allocation becomes an operation.

  • Cancelled: an allocation can be cancelled at any time. Post-execution cancellation requires a reversal of the operation as well.

Not only is the status adaptable to your company’s procedures, but actions can be triggered by the system if changes to an allocation status occur. Examples: if a promoted allocation is cancelled, the front officers and supervisors might get an advisory email; canceling an allocation might require confirmation of the identity of the officer by requesting a password.

 

Here is an example of the allocation dialog box for a redemption/sale of part of an existing position. A buy or sell can be expressed in terms as an amount or a number of shares. Value date is determined by evaluating the effect of any notice period, redemption frequency, hard and soft lockups. It is user-modifiable.

An allocation blotter shows all allocations made in the portfolios, with their status within front office, or within back office if the allocation order was approved for execution.

Allocations can be created directly from the product list (e.g., for new subscriptions) but most often the front officer will find the position-keeping screen to be the tool of choice for determining what allocations are required.
